BT LiveMeeting Web Conferencing Guide

1. Technical support
 
Technical support for the Virtual Meeting Room sessions on the BT LiveMeeting webconferencing platform is provided by FIDIC,  fidic@fidic.org, SKYPE name: fidic.secretariat; tel: +41 22 799 49 00; mob: +41 79 298 96 66. The sessions are managed and coordinated by the YPMTP11 Coordinator, Steen Frederiksen, SF-Consult; sf@sf-consult.dk
 
2. Virtual Meeting Room
 
The online sessions in the Virtual Meeting Room are accessed via each of the YPMTP11 Team Sites.
 
3. Introduction
 
YPMTP11 uses the BT Web Conferencing platform at www.livemeeting.com/cc/btconferencing3 for the visual part of the online sessions. The platform is a Microsoft Office LiveMeeting 2007 server. For Windows, it is recommended to install the Windows client console. For Mac and Unix, one uses a Java application as the console. The BT Office LiveMeeting User Guide is available PDF
 
4. Audio component
 
The audio component of the webconferencing is provided by BT MeetMe with BT MeetMe Global Access. Participants phone in (by conventional phone or by Skype) to either a free phone number, a general phone number for which the participant pays costs or to a local phone number. They then enter the participants code and give their name. BT MeetMe and BT MeetMe Global Access are described online PDF. See the BT Meet Me Guide for details.
 
5. Invitation

YPMTP11 team members also receive from the Virtual Meeting Room coordinator an email giving the time of a Virtual Meeting Room session. The message gives a link to enter the BT LiveMeeting Webconferencing platform. It also gives the Meeting ID and the Meeting Key.

Participants access the meeting room by clicking on the link in the email message or by clicking www.livemeeting.com/cc/btconferencing3/join and entering the Meeting ID (e.g. W36J63) and Meeting Key (e.g.,cf}45\W) that were given in the email.

The link, Meeting ID and Meeting Key are also available in the team site Virtual Meeting Room.

The invitation email also reminds participants of the Participant's Passcode for the BT MeetMe Audioconferencing.

6. Microsoft Office Live Meeting
 
6.1 Requirements
 
The BT LiveMeeting webconferencing service requires:
  • Internet browser (Windows: Microsoft Explorer or Firefox;  Mac: Safari).
  • Windows users can either install the Office LiveMeeting client console or use web access (that requires Java to be installed). Mac and Unix users can only use web access. The Windows console has more features, but the web access is adequate. Installing the console is recommended (for Windows users). The difference between the client and web access are explained here.

6.2. Microsoft LiveMeeting 2007 Cilent Console

Windows users should install the Microsoft LiveMeeting Client Console application. They can determine if they have the client console application installed by checking Start -> Control Settings -> Programs (or Programs and Features). The client console is installed if "Micinrosoft LiveMeeting 2007" is listed.

The client console works with all recent Windows systems (Windows 7, Vista, Windows XP SP2, Windows Server 2003, Windows 2000 or Windows 98 Second Edition).

6.2.1. Installation

The client console can be downloaded and installed. When the download window open users can chose to "Run" the installer or to "Save" the installer as a download. They then click on the saved .exe file to install the client.

YPMTP participants will be asked in the messages inviting them to attend the test sessions and the kick-off session in the Virtual Meeting Room to install the client console by clicking on the installer link.

6.3. Web Access console installation

Participants using Mac or Unix-type operating systems will need to use the LiveMeeting Web Access. Web Access can also be used for Windows, but it is not recommended.  It may be required if a participant does not have sufficient rights on a Windows computer to install the LiveMeeting 2007 Client Console application.

For Web Access to work, Java needs to be installed (Web Access is a Java application). Also, only a limited number of web browsers will work (see list). Basically, for Windows, only Explorer works with Web Access (Windows users should use the client console), and for Mac, only Safari.

  • Windows Vista: Internet Explorer 7 - Sun 1.6.x

  • Windows XP SP2: Explorer 7 - Sun 1.5.11, 1.6.x; Firefox 2.0  - Sun 1.5.11, 1.6.x
  • Windows XP SP1a: Explorer 6.0 with SP1 - Microsoft JVM 1.1, Sun 1.5.11, 1.6.x
  • Windows 2000 SP4: Explorer 6.0 with SP1 - Microsoft JVM 1.1, Sun 1.5.11, 1.6.x
  • Windows 98 SE: Explorer 6.0 with SP1 - Microsoft JVM 1.1, Sun 1.5.11, 1.6.x
  • MAC OSX V10.4: Safari 2.0 - Apple Java 1.4.2
  • MAC OSX V10.3: Safari 1.3 - Apple Java 1.4.2
  • Solaris 10: Mozilla 1.7 - Sun 1.5.11, 1.6.x

Participants should check if Java is installed. To check if Java installed, click here. If the Java coffee cup image does not show when you click here, follow the instructions on the page. If Java needs to be installed or reinstalled it is recommended to download the appropriate Java from here and to then click on the downloaded file to install Java. To install Java in a browser it is often necessary to check, for example, Explorer 8, that:

  • in Tools -> Internet ->Advanced, there is a Java section and Java is checked;
  • in Tool -> Programs -> Manage Add-Ons that all the Java components are enabled. 

Once Java is installed, when they connect to the LiveMeeting service they will be used to choose between the Client console and Web Access. They should choose Web Access.

The browser Window will display "Ckecking LiveMeeting service ......."
