BT Global MeetMe Teleconferencing Guide
Important notice: audio teleconferencing and webconferencing services supplied by eFIDIC for the YPMTP programme should only be used for YPMTP-related work. eFIDIC monitors activity for abuse.
1. Technical support
Technical support for the Virtual Meeting Room sessions on the BT LiveMeeting webconferencing platform is provided by FIDIC, fidic@fidic.org, SKYPE name: fidic.secretariat; tel: +41 22 799 49 00; mob: +41 79 298 96 66. The sessions are managed and coordinated by the YPMTP11 Coordinator, Steen Frederiksen, SF-Consult;

2. Access the Virtual Meeting room
The online sessions in the Virtual Meeting Room are accessed via each of the YPMTP11 Team Sites.
3. Introduction
The audio component of the webconferencing is provided by
BT MeetMe with BT MeetMe Global Access. Participants phone in (by conventional phone or by Skype) to either a free phone number, a general phone number for which the participant pays costs or to a local phone number. They then enter the participants code and give their name. BT MeetMe and BT MeetMe Global Access are described online

5. Invitation
YPMTP10 team members receive from the Virtual Meeting Room coordinator an email giving the time of Virtual Meeting Room session, with link, Meeting ID and Meeting Key. The link, Meeting ID and Meeting Key are also available in the team site, for example, the Team 1 Virtual Meeting Room.
The invitation email and the Vuirtual Meeting Room web page also remind participants of the Participant's Passcode for the BT MeetMe audioconferencing.
6. Dial-in
The coordinator of the Virtual Meeting Room (Steen Frederiksen) and the team members dial in to either the default UK telephone number or a BT MeetMe Global Access local access number (preferred as less expensive):

6. Skype
Team members can dial in to a BT MeetMe Global Access number using Skype. The Skype call can be paid for by the YPMTP11 programme if a Skype account is started by the participant. IThe account should have a name beginning with "YPMTP11" and FIDIC should informed that an account has been created. FIDIC tehn uses Skype to ainvite the participant to join a group. Once the participant accepts the invitation, all Skype calls made using his or her YPMTP11 account are paid for by FIDIC.
7. Passcode
The Virtual Meeting Room coordinator and the team members are asked for a passcode. The coordinator should use the Chairperson Passcode and team members should use the Participant Passcode:

8. Managing the Virtual Meeting Room session
The Virtual Meeting Room coordinator (the meeting chairperson) has controls for the audioconferencing given in full here PDF 1 MB.
9. Recordings
Recordings of Virtual Meeting Room sessions are started and sopped by the chairperson. They are loaded in each team's Session Recordings library for both download and playback. The coordinator can ask the eFIDIC Manager to forward the recording to team members.
10. Private webconferencing
eFIDIC also provides full web conferencing for use by YPMTP11 participants using BT LiveMeeting Webconferencing. As for the YPMTP11, BT MeetMe audiconferencing is used for the audio and BT LiveMeeting webconferencing for the web conference. If you want to chair a webconference, please contact eFIDIC. Participants receive from the chairperson an email message giving:
- time of meeting
- link to the meeting on BT LiveMeeting
Participants access the meeting room by clicking on the link in the email message or by clicking www.livemeeting.com/cc/btconferencing3/join and entering the Meeting ID (e.g. W36J63) and Meeting Key (e.g.,cf}45\W) that were given in the email.
